How to hire a database administrator
A search for DBA services returns two things: firms that file a doing business as name, and firms that run your databases remotely. This guide is about the second: what a database administrator does, when a remote DBA firm fits better, and what to check before you hire one.
What does a database administrator do?
A database administrator, or DBA, keeps databases available, fast and secure. That covers backups and restores, performance tuning, security and access, patching and upgrades, monitoring, and planning capacity as data grows.
Some DBAs lean toward operations, keeping production healthy. Others lean toward development, designing schemas and reviewing queries with the engineering team. Say which one you need in the brief.
Remote DBA services firm or a dedicated DBA?
A remote DBA firm, sometimes sold as DBA as a service, fits when you need coverage around the clock across several engines and your databases need only occasional attention. You share a team and pay for the coverage.
A dedicated DBA fits when the databases are central to your product and change often. A person who knows your workloads catches problems earlier and works with your developers on changes before they reach production.
When should you not hire a dedicated DBA?
When you run a few small databases on a managed cloud service that already handles backups, patching and failover. A developer with some database experience may cover the rest.
It is also the wrong hire when you need several engines covered around the clock by one contract. A single dedicated person cannot be on call every hour, and a remote DBA firm is built for that.
SQL Server, PostgreSQL, MySQL or Oracle?
Hire for the engine you run in production. Each has its own tools for tuning, backups and high availability, and a DBA who knows yours deeply is faster than a generalist who knows many of them a little.
If you plan a migration between engines or to a managed cloud service, put both in the brief so the search covers them.
What should I check in the interview?
Give a real scenario: a slow query with its execution plan, or a restore request for a specific point in time. Look at how the candidate reasons about the cause and how they would confirm the fix.
Then ask when they last tested a restore and what went wrong. A good answer is specific, and treats a backup that was never restored as a backup that may not exist.
Red flags in DBA candidates
Backups taken on faith. Ask when they last tested a restore. A candidate who cannot remember, or assumes the backups work because the jobs finish, is describing backups that may not exist.
Fixes that are never confirmed. In the slow query scenario, notice whether they explain how they would confirm the fix. Adding an index and moving on without reading the execution plan again is a guess, not a fix.
Failover that has never been tested. If they set up replication or clustering but cannot describe testing it, you do not know whether losing one server means losing the application.
Upgrades without a way back. Ask how their last version upgrade or migration was planned. No tested plan and no rollback means your applications find the surprises first.
A gatekeeper, not a partner. Ask how they handled a schema change from a developer that they thought would not scale. A candidate who simply blocked it, or let it through without explaining why, will not have your developers on their side.
Is a database administrator still needed with cloud databases?
Managed services remove part of the work, such as hardware, some patching and basic backups. They do not tune your queries, design your schemas, control your cost or decide who can see what.
Teams on managed databases often need less of a traditional operations DBA and more of a DBA who works closely with developers on performance and design.
