Most small business owners hire a virtual assistant too late and hand over too little. This guide covers what to delegate first, how a dedicated assistant differs from a freelancer or an AI tool, and when you should not hire one at all.

What does a virtual assistant do for a small business?

The work that keeps the business running but does not need the owner: inbox and customer replies, scheduling, invoices and quotes, CRM and spreadsheet updates, supplier follow-up, and the recurring admin that piles up at the end of every month.

The best way to think about it is time, not tasks. If you spend ten hours a week on work someone else could do to the same standard, that is the job description.

What should I delegate first?

Start with work that is frequent, repeatable and already written down, or easy to write down. Scheduling and inbox triage are the usual first month. Invoicing, CRM hygiene and supplier follow-up usually come next.

Working around the checklist. Ask about a written process they followed that turned out to be wrong. A candidate who quietly worked around it, instead of suggesting the fix, leaves you with a process that only works while they remember the exception.

The same question every week. A good assistant asks once, early, and writes the answer down. Ask how they keep track of the answers they get; if nothing is written down, expect to be asked again.

Data entry as the easy part. Ask how they check an invoice or a CRM update before it goes out. A candidate who treats data entry as low stakes will cost you more in corrections than the task saved.
