How it works
How do I hire a real estate virtual assistant?
You do one thing: interview. We handle everything else.
Post the role
5 minutes. The role, the motion, the tools, the comp band. That is all we need to start.
Review your matches
3 to 5 matches in 48 hours.
Interview and hire
We coordinate interviews. On Managed Staffing, we also handle payroll and compliance across LATAM.
WHY TEAMS TRUST CLOUDTASK
What you get with every hire
Your market hours, not the night shift
Latin America overlaps the US working day in real time. A lead that lands at 2pm gets called at 2pm, and a tenant who reports a leak at 9am talks to someone who is already at a desk rather than someone starting a shift when your office closes.
People who have worked real estate pipelines
Every profile on this page has real estate work written into their own record: seller and buyer prospecting, appointment setting for agents, tenant and vendor coordination, and owner reporting. Not an industry tag, an actual job they held.
Clear about where the license line sits
We staff the work around a licensed agent or broker, never the licensed act itself. That boundary is written into the brief before anyone starts, which is the part most remote assistant vendors leave for you to discover later.
A shortlist in days, not weeks
3 to 5 matches in 48 hours, scored against your brief, so covering a desk does not turn into a hiring project while listings and leads pile up.

SKILLS
Top capabilities to look for in a real estate virtual assistant
Real estate support is not general admin with property words on top. The lead goes cold in minutes, the contract date does not move, and a wrong field on a listing or a work order costs somebody a showing, a renewal or a closing. Check for these before anything else.
-
Speed to lead, and the follow up after it
Calls and texts a new inquiry fast, then keeps working the same lead through a sequence over weeks. Most of the value in an inside sales seat is in attempt number six, not attempt number one.
-
Calendar and showing coordination
Runs a moving schedule of showings, tours, inspections and vendor visits across time zones and traffic, confirms both sides, and rebooks a cancellation before the slot is lost.
-
Deadline discipline on paperwork
Understands that contract dates, contingencies and renewal notices are fixed points, and chases the missing signature or document before the date arrives rather than reporting it afterwards.
-
Accuracy with property and listing data
Enters addresses, prices, unit numbers and photos exactly as given. In this industry one transposed figure travels straight into a public listing and into a portal feed.
-
Handling owners, tenants and vendors
Holds a calm line with an owner asking about a bill, a tenant asking about a repair and a contractor rescheduling, and keeps all three informed without letting any thread drop.
-
CRM and property platform fluency
Works daily inside a sales CRM and a property management platform, and picks up yours quickly. Ask which systems a candidate has actually worked in, not which ones they recognise.

HIRING GUIDE
How to hire real estate support talent in Latin America
Most companies that staff real estate desks remotely hire in the Philippines, where the work happens while your market is asleep. Latin America is the other option, and it changes what the role can be. This guide answers the questions buyers ask before they open that search, including the two with an uncomfortable answer.
What can a real estate virtual assistant actually do for an agent or a team?
The work that lives in your CRM, your inbox and your phone: calling and qualifying new leads, setting appointments for agents, reviving an old database, chasing documents and signatures, preparing listing paperwork, keeping the pipeline clean, and answering owners and tenants.
Almost none of it is the licensed act itself. It is the volume of coordination around that act, which is exactly the part that stops scaling when an agent tries to carry it alone.
Which real estate roles does CloudTask not place?
Anything that requires a US real estate license in the state where the property sits. We do not place licensed agents, brokers or appraisers, and CloudTask is not a licensed brokerage. If the job description includes representing a client, negotiating on their behalf or opining on value, that is not a seat we can fill.
We place the work around that person. If you were hoping to solve a licensed headcount problem with a remote hire, this page will not help you, and anyone who says otherwise is selling you a risk you will own.
Can a virtual assistant be a property manager?
They can run almost all of the operational load: maintenance requests, work orders, vendor scheduling, renewal reminders, owner updates and the records behind them. That is the bulk of the hours in a property management office.
What counts as managing property for compensation, and what licence that requires, is set state by state, and that call belongs to you and your counsel. What we can tell you is what we staff: the coordination behind a licensed manager, not the licensed role itself.
Do you have transaction coordinators sitting on the bench today?
No, and it would be easy to pretend otherwise. When we read every profile in our talent network rather than trusting industry tags, the real estate experience that holds up is inside sales and prospecting, property and leasing operations, and administrative support. Transaction coordination and listing coordination are not sitting there as ready made profiles.
That does not close the role. Sourcing is part of the service, so a transaction coordination brief runs as a dedicated search with our recruiting network in the region. It just runs on a search timeline rather than on a shortlist we already hold, and you should hear that before you commit.
Why Latin America instead of the Philippines?
Time zone, and in this industry the difference is not cosmetic. Speed to lead decides who gets the appointment, and a lead that arrives at 2pm in Dallas arrives in the middle of the night in Manila. Latin America overlaps the US working day in real time.
Night shifts work well for overnight data work and after hours coverage. They simply cannot answer a live inquiry at the moment it lands, and that moment is where a real estate pipeline is won or lost.
What does a real estate support hire actually cover?
Usually more than the title suggests. The same person calls new leads, books showings, updates the CRM, chases a missing disclosure and answers an owner email. That is one seat in a small team and three in a large one.
Before writing the role, list the 3 to 5 tasks the person will do every week, the systems they will work in, and who they will talk to. That list is what we match against, not the title.
Who is the legal employer, and who controls access to your CRM and listing data?
On Managed Staffing, CloudTask is the contracting party and handles worker payments and employment administration, and you direct the work. On Direct Hire, you employ and manage the person from day one.
Access stays your decision in both cases. Settle before the start date which systems the person needs, at what permission level, and who approves it. Client contact details, seller motivation notes and owner financials sit inside your controls rather than beside them.
How do you test for follow up discipline instead of a good interview?
A warm interview tells you almost nothing about whether someone will make the fifth call. Give finalists a short, realistic exercise: a seller who says the timing is wrong, an old lead who went quiet months ago, or an owner asking why a repair is taking so long.
Watch what they do after the first no. Consistency across a week separates a productive inside sales seat from a busy one, and it shows up in how they describe their own follow up cadence.
What are the red flags in a real estate support interview?
• Offering advice on price or terms in the exercise instead of routing it to the agent.
• No concrete example of a lead they worked over weeks rather than days.
• Vague answers about how they tracked appointments and outcomes.
• Treating a contract date as a reminder rather than a deadline.
• A list of platforms with no story attached to any of them.
How does CloudTask vet candidates before you meet them?
Every candidate is vetted before appearing on a shortlist, and nobody is placed without your approval. You get 3 to 5 matches in 48 hours, scored against your brief, with the real estate experience stated on the profile rather than implied by an industry tag.
If the first matches miss, we run the search again against the revised brief. $299 to start your search. One time, not a subscription, and it applies toward your first placement.
How is this priced compared with hiring in house?
An in house assistant carries recruiting time, payroll, benefits and the cost of the seat staying empty while you search. CloudTask replaces the search cost with one number at the front: $299 to start your search, one time, applied toward your first placement.
After that, Direct Hire is a placement fee and Managed Staffing is an all in monthly rate per person, quoted before you interview anyone. Managed Staffing carries a 24 month replacement guarantee with replacements not capped, and Direct Hire a 6 month guarantee.
