What you get with every hire

Someone who runs Apollo every day

A prospecting operator on your team, not a consultant who configures the account once and leaves your reps to figure out the rest.

Verified on the tool

Apollo and the CRM it syncs with are checked per candidate on a live call, not taken from a self-reported list of tools.

SKILLS

Top capabilities to look for in an Apollo expert

What separates someone who has clicked through Apollo from someone who can own your outbound data and sequences.

  • ICP translated into filters

Turns a description of your best customers into saved searches and lists, and can explain why each filter is there.

  • List hygiene before sending

Verifies and enriches contacts before they enter a sequence, and removes what bounces, instead of cleaning up after the damage.

  • Sequences that read like a person

Short steps, real personalization and a clear reason to reply, tested one variable at a time rather than rewritten every week.

  • Signals used with judgment

Uses intent and scoring to decide who gets contacted first, and knows when a signal is noise rather than a buying moment.

  • Sending discipline

Respects mailbox limits and domain health, and treats deliverability as part of the job, not as the email provider's problem.

  • A clean sync with the CRM

Maps fields, prevents duplicates and decides which system owns each record, so Apollo and your CRM tell the same story.

  • Reporting on what books meetings

Reads sequence and rep activity to find what produces meetings and pipeline, not what produces the most emails sent.

  • Enablement for the reps

Documents the workflows and trains new SDRs on them, so the setup survives the person who built it.

HIRING GUIDE

How to hire an Apollo expert

Hiring someone to run Apollo well comes down to three decisions: whether you need an operator who prospects or an owner who runs the tool for a team, how much of the stack around Apollo they will touch, and how you verify it before day one. This guide walks through each one, then explains how CloudTask matches you with a vetted Apollo expert from Latin America.

Decide whether you need an operator or an owner

Apollo work comes in two shapes. An operator uses Apollo to prospect: builds lists, runs sequences and books meetings, usually as an SDR or BDR. An owner runs the tool for the team: filters, sequences, sending rules, the CRM sync and the reports everyone else uses.

Small teams often want one person to do both, and it can work for a while. As the team grows, the owner work gets squeezed by the daily quota. Write down which half matters more before you brief anyone, because it changes who you should hire.

How much of the stack the role needs

Apollo rarely works alone. It sits next to a CRM, a calling tool, LinkedIn and often an enrichment or automation layer. Decide which of those the person will own and which they only need to use.

If the role includes the CRM sync, ask for someone who has mapped fields and fixed duplicates, not only someone who has sent sequences. If it includes calling, ask for someone who has worked the phone, not only the inbox.

Lists and data: where most Apollo accounts go wrong

Most outbound problems start in the list, not in the copy. A search that is too broad fills sequences with people who were never going to buy, and a list that is not verified hurts every campaign that follows.

A strong candidate can show you how they would rebuild your ICP as filters, what they check before a contact enters a sequence, and how they keep a list fresh after the first send.

Sequences and sending discipline

Good sequences are short, specific and tested. Ask how the candidate decides the number of steps, when a call replaces an email, and what they change first when reply rates drop.

Then ask about sending limits and domain health. Someone who treats deliverability as someone else's problem will burn the domains your whole team depends on.

The CRM sync is the part nobody owns

When Apollo and the CRM disagree, reps stop trusting both. Duplicates appear, activities land on the wrong record and reports stop matching.

Ask how they have set up a sync with Salesforce or HubSpot: which system wins on each field, how duplicates are prevented, and how they notice when the sync quietly stops.

What to check in the interview

Give the candidate a short description of your best customer and ask them to talk through the Apollo search they would build. You will hear whether they think in filters, in signals, or only in job titles.

Then show them a real sequence with a weak reply rate and ask what they would change first and why. A strong answer changes one thing, explains how to measure it and mentions the list before the copy.

Red flags in Apollo candidates

Volume as the goal. A candidate who talks about how many emails they sent, and never about meetings or pipeline, will optimize the wrong number.

Copy before the list. In the weak sequence exercise, reaching for a rewrite before asking who is on the list usually means the real problem goes untouched.

No opinion on deliverability. If sending limits and domain health sound like the email provider's job, your domains are at risk.

Filters by job title only. A search built only on titles, with no view on company fit or signals, fills sequences with people who will never reply.

Nothing written down. A candidate who has never documented a workflow or trained a rep will build a setup that only works while they are there.

How much does an Apollo expert cost?

It depends on the scope, the seniority and the country the person works from, and any single number describes one scenario and calls it a price.

What is worth understanding is the shape. On Managed Staffing it is one all-in monthly rate per person, with payments, compliance and replacement cover inside it. On Direct Hire it is a one-time fee of 20% to 30% of first-year base salary and the person goes on your payroll. We quote your number before you interview anyone.

How CloudTask hires for this role

You tell us whether you need an operator or an owner, the CRM you run and the hours you need covered. We come back with 3 to 5 matched profiles within 48 hours, each one screened on a live call and verified against Apollo and the tools you named.

You interview and choose. On Managed Staffing we handle payments, compliance and onboarding and stay involved with check-ins. On Direct Hire the person joins your payroll from day one. Both carry a replacement guarantee: 24 months on Managed Staffing, 6 months on Direct Hire.

FAQ

The fine print, in plain terms.

What does an Apollo expert do?
They run the parts of your outbound that live in Apollo: lists built from your ICP, contact enrichment, sequences, the sync with your CRM and the reports on what books meetings. Some also prospect themselves as SDRs or BDRs.
Is this the same as hiring a developer for Apollo?
No. This page is for people who operate or administer Apollo inside a sales, RevOps or marketing team. If you need someone to build custom software integrations, that is an engineering hire, and we can staff that too.
Does the six-month minimum term apply?
Only if the role creates demand. If the person works as an outbound SDR, a BDR, in demand generation or as a full-cycle AE, Managed Staffing runs on a six-month minimum term. A role that administers Apollo for the team without creating demand does not carry one. Direct Hire has no minimum term.
Can they work with our CRM?
Yes. Tell us whether you run Salesforce, HubSpot or another CRM, and we verify it per candidate together with Apollo before you see a profile.
What is the $299 for?
It starts your search. One time, not a subscription. It applies to your first placement or toward a buyout, so it is not an extra cost, it is the first part of one.
Why is there no number on the monthly rate?
Because it depends on the role, the seniority and the country. We quote the all-in monthly rate per person before you interview, so you know the number before you commit to anyone.
Who is the legal employer?
On Managed Staffing, CloudTask is the contracting party and handles payments and compliance, and you direct the work. On Direct Hire, you employ and manage the hire from day one.
How does tracking work, and can I turn it off?
On Managed Staffing, time and activity tracking is on by default. Talk to us about your setup when you start your search.
What happens if the person does not work out?
Managed Staffing carries a 24-month replacement guarantee, and replacements are not capped. Direct Hire carries a 6-month replacement guarantee: one replacement for the same job description.
Is there a platform or subscription fee?
No. $299 starts your search, one time, and applies toward your first placement. There is no subscription.
