Hiring a Salesforce admin comes down to three decisions: whether you need a dedicated person, a managed services contract or a few hours on demand, how much of the org they will own, and how you verify it before day one. What does a Salesforce admin do?

Admin, developer or consultant

An admin works with the tools Salesforce gives you without writing code: users, fields, layouts, flows, validation rules, reports. A developer writes code, such as Apex and custom integrations, and that is a different hire. A consulting firm usually designs or implements a project and then hands it back.

Be honest about which one you need. If most of your backlog is configuration, reporting and data quality, an admin is the right hire. If it is custom code, hire a developer.

How much of the org the role needs to own

Decide which parts the person will own and which they only need to support: access and security, automation, data quality, reporting, or the connections with the other tools in your stack.

If the role includes automation, ask for someone who has built and maintained flows, not only someone who has used them. If it includes reporting, ask for someone who has explained a number to a sales leader, not only someone who has built a dashboard.

What to check in the interview

Describe a real request, such as a new team that needs its own pipeline view without seeing another team's deals, and ask the candidate to talk through how they would set it up. You will hear whether they think in profiles and permission sets or only in page layouts.

Then show them two reports that disagree on the same number and ask where they would look first. A strong answer checks the filters and the data before touching the report, and explains how to stop it from happening again.

Red flags in Salesforce expert candidates

Access by exception. A candidate who solves every visibility request by giving someone more permissions will leave your org open to people who should not see the data.

Report before data. In the two reports exercise, rebuilding the report before checking filters and records usually means the real problem stays in place.

Automation nobody can explain. If the candidate cannot say what a flow does and what happens when it fails, expect surprises every time a process changes.

Cleanup as a one-off. Someone who treats duplicates as a yearly project, with no rules to prevent them, will hand you the same mess again.

Nothing written down. A candidate who has never documented a change or trained a user will build an org that only works while they are there.
