One person, your whole store
A dedicated assistant who learns your catalog, your suppliers and your customers. Not a new freelancer to brief for every listing, upload or report.
Same day as your orders
Latin America and the Caribbean overlap the US working day, so stock issues, stuck orders and supplier delays get handled while they still matter.
Verified on your tools
Shopify, Amazon Seller Central, your inventory app, your helpdesk and your spreadsheets. Checked per candidate against the stack you name.
Replacement guarantee
24 months on Managed Staffing, 6 months on Direct Hire. A store cannot pause while you search again, so the guarantee covers the case where the fit is wrong.

David Barrett CEO, Expensify -
At first we were an SF-based team only. Then I met Amir Reiter back in 2018. After visiting Medellín, I knew LATAM would be key to our growth and success.
Tim Zheng CEO, Apollo.io -
After meeting my CX and CS team in Medellín, we immediately loved the culture and the work ethic. As a European-HQ company, we found LATAM to be perfect to service our American clients.

SKILLS
Top capabilities to look for in an ecommerce operations assistant
Running the back office of a store is mostly detail work done every day. These are the capabilities that keep listings accurate, orders moving and stock counts honest.
-
Catalog and listing management
Creating and updating product listings, variants, prices, images and descriptions, and keeping them consistent across every sales channel you sell on.
-
Order management
Watching the order queue, fixing addresses and payment holds, chasing stuck shipments and making sure nothing sits unfulfilled over a weekend.
-
Inventory accuracy
Reconciling stock between your store, your warehouse and your Amazon seller account, and flagging low stock before a best seller goes out of stock.
-
Supplier and 3PL follow-up
Purchase orders, delivery dates, missing units and damaged stock. Following up with suppliers and fulfillment partners until the issue is closed.
-
Returns and exceptions
Processing returns, refunds and replacements by your policy, and logging the reason so repeat problems show up in the data.
-
Reporting you can act on
A weekly view of sales by channel, stock position, returns and open issues, pulled from the platforms and not typed from memory.
-
Attention to detail
One wrong price, SKU or weight can cost more than a week of work. The best candidates check their own changes before they publish them.
-
AI where it saves a step
First drafts of product descriptions, bulk edits and data cleanup. Useful for speed, always reviewed before anything goes live on the store.
HIRING GUIDE
How to hire an ecommerce virtual assistant
Most online stores hit the same wall: the founder or the marketing lead ends up spending the day on listings, orders and supplier emails. This guide covers what an ecommerce operations assistant does, when a dedicated person beats freelancers per task, and when it is the wrong hire.
What does an ecommerce virtual assistant do?
The back office of the store: catalog and listing updates, order management, inventory reconciliation, returns, supplier and fulfillment follow-up, and the weekly reporting that tells you how each sales channel is doing.
This page is about operations. Customer service at volume, with phone and chat queues, is a different hire, covered on our support representatives page.
Should I hire a dedicated assistant or freelancers per task?
Freelancers work well for one-time projects: a catalog migration, a batch of product photos, a new theme. You brief the task, it gets done, and the engagement ends.
A dedicated person makes sense when the work is daily. Orders, stock and supplier issues do not arrive as projects, and every new freelancer has to learn your catalog, your policies and your tools from zero.
When is a dedicated ecommerce assistant the wrong hire?
When the store is still small enough that the back office takes an hour or two a day. A dedicated person will not have enough to do, and a part-time freelancer will serve you better.
It is also the wrong hire when the real problem is strategy: which products to sell, how to price them, where to advertise. An operations assistant keeps the store running. They do not replace the person deciding where it goes.
Which platforms should the assistant know?
Hire for the platforms you run today. Shopify and Amazon Seller Central work very differently, and someone fluent in the one you use ramps faster than a generalist who has touched many of them.
Add your inventory tool, your helpdesk and your shipping software to the brief, so the search checks them too.
What should I check in the interview?
Give a small real task: update three listings from a supplier spreadsheet, with one price and one SKU deliberately wrong. Look at whether they catch the errors, not only whether the listings go live.
Then ask how they would handle an order that shipped to the wrong address. A good answer covers the customer, the carrier, the refund policy and how to stop it happening again.
Red flags in ecommerce assistant candidates
Publishing without checking. In the listing task, a candidate who puts the wrong price or SKU live because it was in the supplier spreadsheet will do the same on your store. Strong candidates catch the errors and ask about them before anything is published.
Fixing the order, not the cause. Ask about an order that shipped to the wrong address. An answer that stops at the refund, with nothing on the carrier, your policy or how to stop it happening again, means the same problem will come back.
Follow-up that ends at the first email. If their supplier and fulfillment stories end with sending a message, not with the missing units or the damaged stock resolved, the issues will stay open on your side.
Reports from memory. Ask how they built their last weekly report. Numbers typed in rather than pulled from the platforms are how the stock position and sales by channel drift away from reality.
Stock nobody reconciles. A candidate who has never compared stock between a store, a warehouse and an Amazon seller account, or cannot say how they flag low stock, will find out a best seller is gone when orders start failing.
How long before a new ecommerce assistant is effective?
Expect the first week to go on access, a walkthrough of the catalog and your policies for returns and exceptions. Start with listings and reporting, where mistakes are easy to catch.
Hand over orders, suppliers and inventory once the routine tasks run without your review.
How much does it cost to hire an ecommerce virtual assistant?
It depends on seniority, the platforms, the language requirement and the country the person works from, and any single number describes one scenario and calls it a price.
What is worth understanding is the shape. On Managed Staffing it is one all-in monthly rate per person with payments, compliance and replacement cover inside it. On Direct Hire it is a one-time fee and the person goes on your payroll. We quote your number before you interview anyone.
Why hire an ecommerce assistant in Latin America?
Overlap. Orders, suppliers and carriers run on US hours, and an assistant who works the same day can fix a problem before it turns into a late shipment or a bad review.
The second reason is English, written and spoken, with suppliers and partners who are not on your payroll. We screen it live on a call rather than inferring it from a profile.
How does CloudTask hire for this role?
You send the platforms, the sales channels, the tasks and the hours you need covered. We source against that brief and come back with 3 to 5 matched profiles within 48 hours, each one screened on a live call and verified on the tools you named.
You interview and choose. On Managed Staffing we handle payments, compliance and onboarding and stay involved with check-ins. On Direct Hire the person joins your payroll from day one. Both carry a replacement guarantee: 24 months on Managed Staffing, 6 months on Direct Hire.
