How to hire a bookkeeper
Most search results for outsourced bookkeeping sell you a firm or a piece of software. Both are good answers to some problems. This guide covers when a dedicated bookkeeper is the better one, what the role covers, and what it does not.
What is an outsourced bookkeeper?
Usually it means a firm that does your books for a monthly fee. You send documents, they categorize, reconcile and close, and you get statements once a month. The person working on your file can change, and the work happens in a batch.
A dedicated bookkeeper is different. It is one person working inside your accounting system on your working day, who knows your vendors and customers and handles things as they happen rather than at month end.
Should I use a bookkeeping firm or hire a bookkeeper?
Use a firm when the volume is low and the work fits comfortably into a monthly close. A few dozen transactions, no payables process to run and no customers to chase is a firm's job, and it will cost you less.
Hire a person when the work is daily: invoices to enter and approve, customers to follow up, questions from your team about what was paid and when. That work does not fit a monthly batch, and it is where a firm starts to feel slow.
What does a bookkeeper do, and what do they not do?
A bookkeeper records transactions, runs payables and receivables, reconciles accounts and prepares the month end so the numbers are right.
A bookkeeper is not your accountant. Tax filings, audit opinions and financial strategy belong with a qualified accountant or CPA, and the best setup is a bookkeeper who keeps the books clean enough that your accountant's time goes on advice rather than clean up.
Is AI replacing bookkeepers?
It is replacing the typing. Bank rules, receipt capture and AI categorization now handle most routine transactions, which is why the category you get from a tool is usually right.
What it does not do is chase a customer who has not paid, question a vendor who billed twice, or decide what to do with the transaction that does not fit any rule. That is where the bookkeeper's time goes now, and why the role is more about judgment than it used to be.
Do I need a bookkeeper if I already use AP automation?
Automation tools move invoices through approval and payment faster. Someone still has to set the rules, handle the exceptions, match what was paid to what was ordered, and reconcile the result.
If your automation runs cleanly and your volume is low, you may not. If exceptions are piling up in a queue nobody owns, that queue is the job description.
What should I check in the interview?
Give them a short bank statement and a matching ledger with three deliberate problems in it: a duplicate, a missing entry and a wrong amount. Ask them to talk you through what they see.
Then ask how they ran month end in their last role, step by step. A clear, repeatable answer is the best predictor of clean books.
Red flags in bookkeeper candidates
Missing the planted problems. In the statement exercise, a candidate who spots the duplicate but misses the wrong amount, or calls the account reconciled before explaining every difference, will do the same with your books.
Differences parked, not explained. A candidate who describes parking unexplained differences in a suspense account so the month can close is recording problems, not solving them. Ask what they did with the last difference they could not explain.
A month end that changes every month. If their account of how they ran month end is vague, or shifts when you ask about a detail, there was no checklist. Ask them to walk you through last month's close; a checklist they can recite is what you want to hear.
Recording what looks wrong. Ask about a time something in the books looked off, such as a vendor billing twice or an expense in the wrong category. A candidate with no story has recorded what came in without questioning it.
Trusting the automatic rule. A candidate who says the software categorizes everything and they rarely check its output has handed the judgment to the tool. Ask how they know when a bank rule is getting it wrong.
