How to hire a CRM administrator

Most teams notice they need a CRM administrator when the forecast stops matching reality. This guide covers what the role owns, how it differs from a CRM consultant, and when you do not need one at all.

What does a CRM administrator do?

They own the system your revenue team runs on: the data model, the pipelines, the permissions, the automation and the reports. They keep it accurate, keep it usable and change it as the business changes.

In practice that means cleaning and merging records, adding and retiring fields, building dashboards, fixing workflows that misfire, connecting the tools around the CRM, and answering the questions the sales team has every day.

How is a CRM administrator different from a CRM consultant?

A consultant is hired for a project: an implementation, a migration, a rebuild. They design the system, hand it over and move on. That is the right purchase when you are starting or starting again.

An administrator is there after the project ends. Most CRM problems are not design problems. They are the slow drift of bad data, unused fields and workarounds that happens when nobody owns the system day to day.

When do you not need a dedicated CRM administrator?

When the team is small, the pipeline is simple and one person can keep the data clean in an hour a week. A dedicated administrator for five users and one pipeline is more capacity than the work needs.

It is also the wrong hire if the system itself is the problem. If you are about to change platforms or rebuild from scratch, bring in an implementation partner first and hire the administrator to run what they build.

What are the signs your CRM needs an owner?

Red flags in CRM administrator candidates

Fixing the chart, not the data. In the messy report exercise, a candidate who reaches for a new dashboard before asking why the numbers are wrong treats the report as the problem. Strong candidates look at the data and the process behind it.

Nothing ever broke. A candidate with no story of a change that broke something downstream has either not changed much or not noticed. Either way, ask how they release changes now.

Cleanup as a one-time project. If they describe data quality as a big cleanup they did once, and not as a weekly routine, your duplicates and stale records will come back after the cleanup ends.

Access by default. Ask how they decide who can see, edit and export records. A candidate who grants access on request and never reviews it when people leave is a risk to every deal in your system.

Administering the system, not the team. A candidate who talks about fields and workflows but never about rep questions or training new hires will build a CRM your team works around with its own spreadsheet.
