What a RevOps analyst does, and how to hire one
Most explanations of forecasting, pipeline analysis and deal desks come from software vendors describing their own product. This guide explains the work in plain terms, what a dedicated analyst owns, and when you do not need one yet.
What does a RevOps analyst do?
A RevOps analyst turns the data in your CRM into decisions. In practice that means the forecast, the pipeline review, the weekly and monthly reports, support for the deal desk, and the quota and commission data that sales and finance both rely on.
The job sits between sales, marketing, customer success and finance. The analyst is the person who can say where a number came from, and whether it can be trusted.
What is revenue forecasting, in practice?
Forecasting is predicting how much revenue will close in a period. The simple version adds up what each rep says they will close. The better version compares that call against stage, deal age and historical conversion, and explains the difference.
A good analyst does not replace the judgment of your sales leaders. They give that judgment a second opinion built from data, so the forecast meeting argues about deals instead of about spreadsheets.
What is the role of a deal desk?
A deal desk reviews non-standard deals before they go to the customer: discounts, payment terms, contract changes and pricing exceptions. Its job is to protect margin and speed up approvals at the same time.
In a small team the deal desk is often one analyst with a clear approval matrix and a place where every exception is recorded. It does not need to be a department to be useful.
What does pipeline analysis look for?
Coverage, which is how much pipeline you have against target. Conversion, which is how often deals move from one stage to the next. Velocity, which is how long they take. And aging, which is how long a deal has sat without moving.
The value is in the exceptions: the stage where deals stall, the rep whose pipeline is mostly old deals, the segment that converts well but gets little attention.
When should you not hire a RevOps analyst yet?
When there is not enough data to analyze. With a handful of deals a quarter, a founder or sales leader reading the CRM directly is faster and cheaper.
It is also the wrong first hire if your CRM has no agreed stage definitions or nobody updates it. Fix the process first, often with a CRM administrator or a RevOps manager, and hire the analyst once the data means something.
RevOps analyst, RevOps manager or data analyst?
A RevOps manager designs the process: stages, routing, territories and the tools. A RevOps analyst measures how that process performs and reports on it. A general data analyst works across the business and may not know how a sales pipeline behaves.
Many teams start with one person who does some of all three. As the team grows, the analysis work is usually the first to need its own owner.
Red flags in RevOps analyst candidates
A forecast that is just the sum of rep calls. Ask how they built their last forecast. A candidate who added up what each rep said, without comparing it to stage, deal age and history, is giving you the same number your sales leader already has.
Charts without a why. Show them a number that moved and ask what caused it. Someone who describes the change but cannot trace it to a process change, a data problem or a real shift in the market will build reports nobody can act on.
Trusting the CRM as it is. If they talk about dashboards and never about required fields, stage definitions or who owns a record, they will report bad data with confidence.
Reports nobody opens. Ask them to describe a weekly report they own. If the answer is many tabs and every metric they could find, rather than one screen with the few numbers that changed, your leadership team will stop reading it.
AI output taken at face value. A candidate who uses AI to summarize the pipeline but cannot say how they checked the result against the source data will pass on its mistakes as facts.
How much does a RevOps analyst cost?
