How to hire a virtual project manager
Hiring a project manager is usually a symptom: work is slipping, and nobody owns the dates. This guide covers what a remote project manager actually does, which kind you need, and when a project manager is not the fix.
What does a virtual project manager do?
The same job as an in office project manager, done remotely: turning a goal into a plan with owners and dates, running the cadence of check-ins, tracking progress, raising risks and keeping stakeholders informed.
Remote does not change the work. It raises the bar on written communication, because the updates, decisions and action lists have to be clear enough to stand on their own.
Which kind of project manager do you need?
Operational project managers run client implementations, onboarding programs, rollouts across sites and internal initiatives. That is the profile this page is about, and where the people in our network come from.
Technical program managers who run software teams through sprints and releases are a different search. If that is what you need, say so on the first call and we will tell you straight away whether we can match it.
What is most of a project manager's job?
Communication. The plan is written once; keeping everyone aligned to it happens every day, and that is where most of the hours go.
That is why the interview should test written updates and difficult conversations, not only methodology.
When is a project manager not the fix?
When the real problem is that nobody has decided what the priorities are. A project manager can run a plan. They cannot create authority that the leadership team has not given them.
It is also the wrong hire when there is one project, it is small, and the person doing the work can track it themselves. Hire a project manager when several streams of work have to land together, or when the same kind of project repeats and needs a consistent owner.
What should I look for in the interview?
Ask about a project that slipped. You want to hear when they saw it coming, who they told, and what they changed. Someone who only has stories about projects that went well has either been lucky or is not telling you everything.
Then give them a messy scenario: three stakeholders, one date, and a dependency on a vendor who has gone quiet. Ask for the first message they would send, and read it.
Red flags in project manager candidates
Every project went well. Ask about one that slipped. A candidate who has no example, or who noticed only the week the date was missed, will report your risks as misses instead of raising them while there is still time to act.
A first message you cannot act on. In the scenario with three stakeholders and a quiet vendor, read the message they write. If it is long, vague or asks for nothing specific, that is what every status update from them will look like.
Methodology instead of delivery. A candidate who talks fluently about frameworks and vocabulary but cannot walk you through a project they delivered, with the owners and dates, knows the language of the job more than the job.
Absorbing every request. Ask how they handled a new request in the middle of a project. Someone who just added it to the plan, without a trade-off or a conversation about scope, will let your dates move quietly.
Escalating every delay. If their answer to a vendor or client going quiet is to hand it up to their manager straight away, they have not yet learned to get commitments from people who do not report to them.
How long before a new project manager is effective?
Expect the first two weeks to go on access, stakeholders and the current state of every project in flight. By the end of the first month they should be running the weekly cadence on their own.
The fastest ramp comes from handing over one project fully rather than a slice of everything.
