How to hire a customer support representative
Most results for outsourced customer support are lists of call centers and BPOs. That is the right answer for some companies and the wrong one for others. This guide covers the difference, what a dedicated support rep does, and how to decide.
Why is customer support outsourced?
Usually for coverage and cost. A company needs the queue answered for more hours than its own team can cover, or needs to add capacity faster than it can recruit, and an outside provider solves both.
The trade-off is context. The more the provider shares agents across clients, the less each agent knows about your product, and the more your customers can tell.
What is the difference between customer service and customer support?
The terms overlap and many companies use them interchangeably. When they are separated, customer service usually means the relationship side: orders, billing, account changes, complaints. Customer support usually means helping people use the product and fixing what is not working.
For hiring, the distinction that matters is how technical the questions are. A rep who handles billing and orders needs a different profile from one who troubleshoots your software.
How is a dedicated rep different from a BPO or call center?
A BPO sells coverage: a team, a schedule and service levels, often with agents working several client accounts. It scales up and down easily, and that is what you are paying for.
A dedicated rep is one person on your helpdesk, in your Slack, answering only your customers. They build product knowledge every week and keep it. You manage the work; on Managed Staffing we handle payments, compliance and replacement.
When is a BPO the better choice?

Then ask about a time they had to say no to a customer. You want to hear how they kept the relationship while holding the policy.
Red flags in support representative candidates
Replies that invite more replies. In the written ticket task, check whether the reply solves the question the first time. A long, apologetic answer that leaves the customer to ask again keeps the ticket open and the customer waiting.
Yes to end the conversation. Ask about a time they had to say no to a customer. A candidate who never has, or who bent the policy to calm someone down, will do the same with refunds, account changes and personal data on your helpdesk.
Escalating instead of troubleshooting. Ask what they check before passing a problem on. A rep who forwards the complaint as it arrived, without reproducing it or ruling out the obvious causes, turns your engineers into the first line.
Sounding like the macro. Ask how they use saved replies. A candidate who pastes them unchanged, and has never flagged one that was out of date, will answer your customers in a voice they can tell is a script.
Every ticket on its own. Ask whether they ever noticed the same issue coming in repeatedly, and who they told. A rep who closes each ticket without seeing the pattern lets a problem grow in the queue before anyone hears about it.
